Suburbly ("we", "our", "the app") is a professional canvassing application that allows door-to-door sales, political, charity, and community canvassers to tag and organize the locations they visit during their work. This Privacy Policy explains how we collect, use, store, and protect information when you use our app and cloud sync services.
Suburbly is a tool for professional canvassers. When you use Suburbly to record information about the people and properties you canvass ("lead data"), you are the controller of that data: you decide what to collect, why, and how to use it. Suburbly acts as a data processor on your behalf — we provide the tooling and storage but do not determine the purposes of your canvassing work. You are responsible for ensuring you have a lawful basis (under PIPEDA, Quebec Law 25, GDPR, CCPA, or other applicable laws) to collect and process the lead data you enter into Suburbly.
For your own personal data (your Suburbly account, your subscription, your app usage), Suburbly is the controller and this policy governs in full.
When you create an account and use the cloud sync feature, we collect and store:
Sensitive lead fields (the names, phone numbers and email addresses of the people you record on a location) are encrypted using AES-256-GCM on your device before they are sent to our servers, and they are stored on our servers only in that encrypted form. Other lead data, including addresses, notes and the other fields you record, is protected in transit by HTTPS/TLS and by our hosting provider's security controls, but is not separately encrypted by the app.
Contacts you create in the app or import from your phone's address book stay on your phone. They are not sent to our servers, and they are deleted from the phone when you sign out.
Your data is used solely to:
As of the "Last updated" date above, we do not:
The above reflects our current practice. If this changes, we will update this policy and notify users as described in Section 15 ("Changes to This Policy") before the change takes effect.
How access to encrypted fields works. The key that encrypts your sensitive lead fields is unique to your account and is generated by our servers from a server-held secret, so that your data can be decrypted again when you sign in on a new or reinstalled device. This means encryption protects your data in storage and against anyone who obtains a copy of our database without that secret, but it is not end-to-end encryption: Suburbly's systems are technically capable of decrypting these fields. We access them only to sync your own data back to your devices. We do not view, analyse or share them for any other purpose, and access to the server secret is restricted to the systems that run the sync service.
Suburbly offers AI-assisted features powered by X.AI LLC ("xAI"), a US limited liability company headquartered in Palo Alto, California. xAI processes data on US-located servers. The features that use AI are:
What we send to xAI per feature:
Lawful basis: Consent given through acceptance of this Privacy Policy and your continued use of the AI-marked features. PIPEDA and Quebec Law 25 require consent-based processing for personal information; you consent each time you tap an AI feature.
Sub-processor responsibility: You, the user, are responsible for ensuring you have a lawful basis to submit the data you do submit. Before the first use of Property Intelligence and Voice-to-Fields, the app shows you an explicit confirmation that you have a lawful basis and that the data will leave your device. You may withdraw consent at any time by ceasing to use these features.
xAI's data handling: Data submitted to xAI for the AI-marked features is governed by xAI's own retention and processing practices. See xAI's Privacy Policy for current details: https://x.ai/legal/privacy-policy.
Cached AI output: Suburbly stores the AI-generated outputs (briefs, insights, photo analyses) on your device and on our servers so the feature does not need to re-call the AI on every view. You can delete these caches via the Delete Cloud Data action in the app's Account section.
The AI features described in Section 5 transmit data to xAI's US-located servers for processing. This is a cross-border transfer from your country of residence to the United States.
Notice for Quebec residents (Law 25 § 17): If you are a resident of Quebec, by accepting this Privacy Policy and using the AI-marked features in Suburbly, you consent to the transfer of personal information to xAI's US-based servers for processing. Without this consent, the AI-marked features (Property Intelligence, House Brief, Voice-to-Fields, Weekly Insights, Photo Analysis) will not function. You may continue to use Suburbly's non-AI features without making this cross-border transfer.
Suburbly's AI features generate text outputs (summaries, property insights) and field-value suggestions, but do not make automated decisions affecting your access to services, pricing, subscription tier, or eligibility. You always make the final decision about how to use any AI-generated content.
You have the right to:
We retain your cloud data for as long as your account is active. When you delete your cloud data through the app, it is permanently and immediately removed from our servers. There is no retention period after deletion. The retention of data submitted to xAI for AI processing is governed by xAI's own terms — see Section 5.
In the event of a privacy breach involving personal information processed by Suburbly or any of our sub-processors, we will notify affected users without undue delay and, where required by law, the Commission d'accès à l'information du Québec, the Office of the Privacy Commissioner of Canada, and other applicable regulators within the timeframes prescribed by law.
Suburbly is intended for users aged 18 and over. We do not knowingly collect personal information from children under 18. The AI features described in Section 5 are subject to the same age restriction. If we become aware that we have collected data from a user under 18, we will promptly delete it.
Suburbly offers optional paid subscriptions (Pro and Business tiers) processed through Google Play Billing.
If Suburbly is involved in a merger, acquisition, financing, or sale of some or all of its assets, your information may be transferred as part of that transaction. If this happens and it results in your information becoming subject to a different privacy policy, we will notify you as described in Section 15 below.
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or business. We will update the "Last updated" date at the top of this page whenever we do.
For material changes — including any change to whether we sell or share personal data with third parties for their own purposes — we will provide notice in-app or by email before the change takes effect, giving you the opportunity to review the updated policy and, where required by applicable law, to exercise any opt-out or consent rights available to you. Continued use of the app after the effective date of a change constitutes acceptance of the revised policy.
Your use of Suburbly is also governed by our Terms of Service.
